Serials


There are four pieces which help create Serials information for check-in purposes:
o PO Line Item Type;
o Component;
o Publication Pattern Model, and
o Subscription Pattern.
A PO Line Item must be assigned a Line Item Type suitable for serials; options include Subscription, Membership, Standing Order, Blanket Order and Multi-part. A Component represents a part of a serial title that is synchronized to a publication pattern. A Publication Pattern Model contains generic information regarding the receipt pattern of the serial materials. The Subscription Pattern is linked to both the PO Line Item Type and a Publication Pattern Model by the Component and describes the expected issues with information provided concerning the serial's or journal's starting volume, number, date, etc.


Tips for Serials


1. The Quick Check-in button is the most expedient method for checking-in serials., bypassing the receive and marks screens respectively.
2. You can choose multiple issues in any order to check-in and/or mark by holding down the control key while clicking on the selected issues.
3. The acquisitions manual describes the setup for several subscription scenarios.
4. When naming publication patterns, put as much information as possible in the descriptive name. For instance, with annual patterns, "Annual (year)" would indicate an annual volume with just a date while "Annual (volume, year)" would indicate that both a volume number and year are recorded.
5. Ensure that standards are developed for descriptive names and the enumeration fields. If possible, choose one of v., V., vol., vol for a volume.
6. If you should wish to use v. on one pattern and vol. on another pattern, two separate patterns must be created.
7. Check-in title on the subscription pattern can include the holdings location or an abbreviation for the check-in title to make selecting the appropriate component for check-in easier. For instance, the check-in title for the Journal of the American Medical Association might be JAMA; you may also want to include the word "Index" in the name of the index component to differentiate it from the basic component.
8. "Combine" in subscription pattern can only link two consecutive months. To eliminate more months, use "omit."
9. When using Bypass prediction, type the name of the expected issue and then click the Add button.
10. Once a component with a non-predictive (Bypass) pattern has been created, you cannot create a predictive pattern for that same component.
11. To delete a component, close it first and clear up all claims. Deleting also deletes the receipt history.
12. If your institution barcodes individual serial issues, turn on item maintenance options in your session preferences to create item records in serials check-in.
13. If you make a mistake when receiving a serials issue, Voyager enables you to change enumeration/ chronology values or to unreceive a previous receipt from the check in history screen.
14. If the expected date changes for a particular subscription, you can change the date for a single issue or all predicted issues.
