Deleting Records
A. General considerations:
- Associated purchase orders, holdings, and item
records must be deleted before a BIB record can be deleted
B. To delete a BIB record in Voyager:
- Search Voyager Cataloging by bibliographic id number.
- Click to open Record menu.
- Click on Retrieve by record id.
- Click on bibliographic.
- Enter the record id number.
- [TSSU staff: If the record is not found, discard printout].
- Display item record.
- Click on Get Items icon.
- If no item record displays, click on OK and continue to
Step #3.
- If item record displays, STOP. BIB records cannot be deleted
with active item records attached.
- Display holdings record.
- Click on Get Hldgs icon.
- If no holdings record displays, click on cancel and continue
to Step #4.
- If holdings record displays, click to open Record menu.
- Click on Delete.
- Click on Yes and continue to Step #4.
- If a box appears with the message Unable to delete holding record.
PO must be deleted first, click on OK and alert Acquisitions.
- Delete bibliographic record.
- Bibliographic record should appear on the screen. If it does not, search
by bibliographic record id number to display it.
- To delete the Voyager BIB record:
- Click to open Record menu.
- Click on Delete.
- Click on YES to confirm that record should be deleted.

- You cannot delete a holdings record that has any item records attached to
it. If you need to delete a holdings record you need to delete
the item records first.
- To delete a holdings record:
- Display the record you wish to delete.
- Under the Record menu click on Delete. A Voyager Cataloging dialog
box displays asking Are you sure? Click Yes to delete or
click No to close without deleting. Close the record.
- If a box appears with the message Unable to delete holding record.
PO must be deleted first, click on OK and alert Acquisitions.

- If you want to delete a catalog record, you must delete its item record(s)
first, then the holdings record(s), and then
the bibliographic record. Voyager will not let
you delete any record that has transactions pending against it, such as a
record for an item that is charged out to a patron through the Circulation
module. Deleted records stay in the system, even though you can't view them.
- To delete an item record:
- Retrieve the record you want to delete.
- From the Record menu, Click on Delete .
- Voyager dialog box will prompt you with Are you sure?
- Click on No to return to the item record.
- Click on Yes to delete the item. The system will then take you
back to the bib or holdings screen where you were when you retrieved the
item.
